Clearance?

Can anyone give me any insight into:
1) How to get clearance to use/reserve parking lot (forms, etc) and clearance to show film on the wall of a commercial building?  Is there a process for that.
2) If I should look into getting some kind of Liability Insurance if someone gets hit by a car pulling out, etc?
3) If I need to get some kind of permit to have vendors cook/sell food and/or products before, during and after film, or would that be their own responsibility?

At the Kern Valley Chapter, we approached the manager of the building, as well as the owner of the property.  We generated a high-quality flyer that presented what our showing would be.  We included in the flyer, "Sponsored in part by 'The Lake Isabella Furniture Store' ... offering high quality furnishing at an affordable price to the communities of the Kern River Valley".  This in turn showed them that they would be getting credit for their participation and we invited all owners/employees to attend and made the first showing kid friendly.  They loved the idea.  Our chapter is also set up for donation only, under a not-for-profit status, which allows us to keep portions of money attained to cover cost.  The remainder of any donations goes the our local high school's ECHO academy for underpriviledged kid to attend vocational training.  Our community loves it, and it has hit big.  We have premovie slideshows & clips generated by DIVX software thanking people/businesses that have helped in making the Kern Valley MobMov a success, as well as disclaimers that state "The Furniture Store, MobMov.org, the Kern Valley MobMov Chapter, Dark Skies Entertainment, their owners, employees or affiliates are not responsible for any damage to your vehicle, your personal property, or your person.  We are not responible for vehicle collisions, monster and/or wild animal attacks or damage/injury caused by random acts of nature.  Our movies are dangerous.  Watch at your own risk!"  This usually covers any liability problems.  As for venders, let them cover their own things.  Remember, keep it simple.  Don't put too many outside influences into the show.  It will stop being fun and become a job.

I don't know how it is in your state. But here in Michigan if you are selling Pre-Packaged items candy bars, chips, pop, etc. you don't need to have a food producers liscense. Only if you sell food the you are preparing fresh. Otherwise I don't believe you need anything, maybe at the most a peddelers liscense from the township, city, whatever. Best thing to do is call your local/state health department and then the City or County Seat in your area. Tell them what you are doing and see if anything else is necessary. Now when and if someone figures out how to do popcorn on a small scale then you may need a producers Liscense because you are making it fresh. It's possible that popcorn is exempt. Or like Mikey said above get a vendor and let him worry about all the paperwork.
